What this is

The Digital Employee is a set of three AI systems that cover the gaps most businesses don't realise they have. Missed calls. Slow replies to web enquiries. Reviews sitting there unanswered.

It's not a replacement for you or your team. It's a system that picks up the things you can't get to. And it runs in the background, every day, without you having to think about it.

The problem

You're busy doing the actual work. That's the whole point. But while you're with a client, or on site, or just trying to get through the day:

  • A call comes in. You can't answer. They call someone else.
  • Someone messages on your website at 8pm. No one replies until morning. They've already moved on.

  • Review request workflow set up (so reviews come in consistently, not just when you remember to ask)

  • Reasonable adjustments to the AI scripts and responses during the first 30 days as we tune the system to your business

How it works

  1. We have a setup call where you tell us about your business, services, availability, and how you want enquiries handled.
  2. We build and configure the three AI systems based on that conversation.
  3. We test everything before it goes live.
  4. We switch it on and monitor for the first couple of weeks, making adjustments as needed.
  5. After that, the system runs. You get notifications when enquiries come in, bookings land in your calendar, and reviews get replied to.

If something needs changing (new services, updated hours, seasonal availability), just let us know and we'll update it.

What's not included

To keep things clear, here's what sits outside the Digital Employee service:

  • Website design or development. If you need a new website or changes to your current one, that's a separate conversation and quote.
  • Custom workflows or automations beyond the standard setup. If you need bespoke follow up sequences or multi step nurture campaigns, we'll scope and price that separately.
  • Marketing services. Ad management, social media content, email campaigns, SEO. The Digital Employee handles enquiry response and reviews. It doesn't generate the enquiries in the first place.
  • Additional CRM features like social media scheduling, email marketing tools, or pipeline management beyond what's needed for the Digital Employee to work.
  • Third party usage costs. Phone minutes, SMS charges, and AI processing costs are not included in the monthly fee. These are passed through at cost and billed separately.
  • Hardware or phone systems. We set up the software. If you need new phones, handsets, or telecoms infrastructure, that's separate.

What "standard setup" means

Each of the three systems comes with a standard configuration:

  • One business location
  • One set of services and availability
  • One booking calendar per system that needs it
  • Standard qualifying questions and response scripts, tailored to your business
  • Standard review response tone and style

If you have multiple locations, multiple brands, or need significantly different setups for different parts of your business, we'll scope that as an extension and agree pricing before we start.

A note on AI

These are AI systems. They're very good, but they're not perfect. Occasionally a response might miss the mark or a caller might ask something the AI can't handle.

When that happens, the system is set up to hand over to you (or let the person know you'll call back).

We tune and improve the system over time, and you can flag anything that needs adjusting. But it's worth going in knowing that "covers for you brilliantly 95% of the time" is a more honest description than "replaces a human completely."
